Terms of service

1. Who you are contracting with

MileTallyPro is operated by MILE TALLY PRO LIMITED, registered in England and Wales under company number 16568889, at 223 Great Gregorie, Basildon, England, SS16 5QU. In these terms “we” and “us” mean that business, and “you” means the person holding the account.

2. What the service does

MileTallyPro records business journeys you enter, calculates the road distance between the postcodes you give us, applies HMRC’s Approved Mileage Allowance Payment rates, and produces a report you can file or hand to an accountant.

It is a record-keeping tool, not tax advice. We do not check whether a journey qualifies as business mileage, whether you are entitled to claim it, or whether the figures are right for your circumstances. Those judgements are yours, and if they matter, they are worth putting to an accountant. Nothing here creates a professional advisory relationship.

3. Your account

You need an account to use the service. Keep your password to yourself — anything done from your account is treated as done by you. Tell us at office@miletallypro.co.uk if you think someone else has access.

You must be at least 18 and using the service for business mileage in the United Kingdom. One account is for one person; it is not shared between colleagues.

4. Trial, prices and payment

New accounts get 30 days free, with no card required. When the trial ends, logging new trips stops until you subscribe. Everything you have already recorded stays readable and exportable — we do not hold your records hostage.

Subscriptions renew automatically until cancelled:

Prices include VAT where it applies. Payments are taken by Stripe; we never see or store your card details. If a payment fails, Stripe retries for around two weeks and your access continues meanwhile — a card that has expired should not cost you your records.

We may change prices, but not on an existing subscription without telling you first. Notice goes to your account email at least 30 days before the change takes effect, and you can cancel before then.

5. Cancelling

Cancel any time from your account page, which opens Stripe’s billing portal. Your subscription runs to the end of the period you have already paid for and then stops. See the refunds policy for when money comes back.

6. Your data and your records

Your trips are yours. You can export them as a PDF or CSV at any time, including after a subscription ends, and you can delete your account and everything in it from the account page.

We keep your data while your account exists. Deleting your account erases your trips, profile and billing record, and cancels any live subscription. That is not reversible, so export anything you need first — HMRC generally expects mileage records to be kept for at least five years.

7. Availability

We aim to keep the service running and will not pretend to guarantee it. Maintenance, outages at the services we depend on, and problems at our own end all happen. We do not promise a particular level of uptime, and we may change or withdraw features — though we will not remove your ability to export records you have already entered without warning.

8. Distance and rate calculations

Distances come from mapping data for the postcodes you enter and are an estimate of a driving route, not a measurement of the journey you actually made. Rates come from HMRC’s published AMAP schedule. Both can be wrong — a postcode mistyped, a rate changed at a Budget, a route that does not reflect the road you took. Check figures before you rely on them for a return.

9. Acceptable use

You agree not to:

We may suspend or close an account that does any of these, or that is used unlawfully. Where it is reasonable to do so, we will tell you why first.

10. Liability

Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot be limited by law. Your statutory rights as a consumer are not affected.

Beyond that, we are not liable for tax underpaid or overpaid, penalties, interest, or any loss arising from a claim you made using figures from this service; nor for lost profits, lost business or indirect loss. Our total liability in any twelve-month period is limited to what you paid us in that period.

11. Changes to these terms

We may update these terms. If a change materially affects you, we will email the address on your account before it takes effect. Continuing to use the service after that means you accept the new terms.

12. Law and disputes

These terms are governed by the law of England and Wales, and its courts have jurisdiction. If something has gone wrong, please email us first — most things are quicker to sort out directly.
